Can't I just use my software's built-in export?

Often you can get partway there, and our free guides show exactly how. Built-in exports typically carry the records you can see on screen and quietly leave behind documents, full financial history, custom fields, and audit trails. The guide for your product shows what its export covers; if the gap matters to your practice, that gap is precisely the service.

The new system's vendor says they'll migrate us for free. Why pay anyone?

A vendor's included migration moves what their system needs to get you running — that's its job, and for some practices it's enough. Ask them for a written list of what does not come across: attachments, closed records, audit trails, historical ledgers, custom fields. If that list worries you, a full-fidelity rescue with a written reconciliation is what we sell. Either way, get the list in writing first.

How do I know you actually got everything?

You don't take our word for it — you get a validation report: record counts reconciled source-versus-extracted for every record type, checksums on every file, a 50-record spot audit we do together on a screen-share, and an exceptions log for anything that couldn't carry, with the reason. You sign it before the second payment milestone is due. There's a complete sample on this site.

What happens to our data after the project?

Working copies are destroyed 30 days after you accept delivery, with a certificate of destruction. If you take the hosted archive, it's read-only and encrypted, you can export all of it at any time at no charge, and destruction on request is honored within 7 days — certified.

You're one person. What if something happens mid-project?

One senior engineer — Seth Wise — does the work, which is also why the process is documented at every step: preservation snapshots, extraction manifests, mapping documents. You keep your original data, untouched, until final sign-off, so at no point is your only copy in someone else's hands. Contractor surge capacity exists for volume; the documentation is what makes the work survivable rather than heroic.

We're a dental practice. Can you help us?

Not yet — dental practices are typically HIPAA-covered, and we don't take HIPAA-covered engagements until our compliance paperwork is complete. The free export guides may still help, and we're glad to point you toward specialists who work under HIPAA today.

Why is your pricing public when nobody else's is?

Because the alternative you'd otherwise face is an hourly meter running against your shutdown deadline. Publishing the bands means you know before the first call whether we're in range. The price is fixed after a scoping call and doesn't change without a change order you sign.

Our software still works fine. Why do anything now?

Maybe you shouldn't — some practices reasonably stay on unsupported software for years. The honest risks: no security patches, integrations that break one by one, and hardware that eventually fails with the only copy of your records on it. A verified, validated copy of your data — extracted while the system is healthy — makes staying a choice rather than a trap. That's what the archive option is for.
