Pre-call worksheet — optional
The data-inventory worksheet
Ten minutes with this sheet makes any migration quote faster and more accurate — ours or anyone's. Open each part of your software, find the record counts (usually on report or admin screens), and jot them down. Rough numbers are fine; blanks are fine too.
| Record type | Count (rough is fine) | Where you found it / notes |
|---|---|---|
| Clients / patients / matters | ||
| Appointments & scheduling history | ||
| Notes / medical records / case files | ||
| Documents, images & attachments | ||
| Financial ledger entries | ||
| Insurance / billing claims | ||
| Trust or escrow ledgers (if any) | ||
| Inventory / procedures / codes | ||
| Custom fields you rely on | ||
| Users & audit history | ||
| Anything else your practice depends on |
- Software name and version (Help → About screen — a screenshot is perfect)
- Where it runs: your own server, vendor-hosted, or cloud
- The vendor's announced date, if any — and where you saw it
- Years of history in the system
Counts you read from your own screens become the yardstick any honest migration is measured against — that's why step one of our process is recording them with you.

The call, the scoping, and the quote are free. So are the export guides — even if you do it yourself.
